Cost per attendee: how to calculate the true cost of a company retreat

One number tells leadership what a retreat really costs. Here is how to get it right, with real ranges from our own retreats.

A set meeting room with long wooden tables

When finance asks what the retreat will cost, they are really asking one question: what are we spending per person? Cost per attendee is the number that lets you compare destinations, defend a budget and plan next year’s.

The formula

Cost per attendee = total retreat cost ÷ the number of people who actually attend.

Run it twice. Before the retreat, use the budget and your expected headcount. After, use what you actually spent and who actually came. The gap between the two tells you how well you planned.

It also helps to break it down by day. Per person, per day is the easiest way to compare a two-day leadership offsite with a four-day company retreat.

What goes into it

Here is how the costs break down on three of our sample retreats, per person, per day. Flights are not included.

CategoryCompany retreat, 4 daysExecutive retreat, 3 daysExecutive retreat, 2 days
Lodging$450$950$950
Food and drink, all-inclusive$450$950$950
Facilitators and workshops$150$550$650
Local transport$50$100$150
Rentals, staffing and vendors$400$400$300
Meeting space and AV$150$150$300
Per person, per day$1,650$3,100$3,300

Executive retreats cost more per day for a reason: smaller groups, private estates, more senior facilitators and more one-on-one time. Shorter retreats also spread fixed costs like AV and setup across fewer days.

A worked example

A company retreat for 40 people, four days, at $1,650 per person, per day:

  • Per person: $1,650 × 4 days = $6,600
  • For the group: $6,600 × 40 = $264,000
  • Add flights and a 10% buffer for the unexpected.

If 4 people drop out late, most costs stay the same. Divide by 36 instead of 40 and your true cost per attendee rises by about 11%. That is why the actual number matters.

The costs people forget

  • Service charges, gratuities and taxes that were not in the first quote.
  • Room-block and catering minimums you owe even if people cancel.
  • Flight changes and travel-day meals.
  • Your own team’s time spent planning, which is real money even if it never shows up on an invoice.

How to use the number

  • Compare destinations and formats side by side, per person, per day.
  • Use this year’s actual number to build next year’s budget.
  • Pair it with what changed. A cost per attendee next to a before-and-after survey, and decisions made on site, turns a line item into an investment.

Every retreat we design starts with a budget built this way, line by line, so there are no surprises for you or your finance team.
